FrontDesk, a product of Trembita Digital ("we", "our", or "us"), operates an AI-powered receptionist and appointment management platform for local businesses. This Privacy Policy explains how we collect, use, and protect information from both business owners ("Operators") who use our platform and their customers ("End Users") who interact with the booking system.

1. Information We Collect

From Operators:

• Name, email address, and password (account registration)
• Business name, address, phone number, and business type
• Mobile phone number for SMS notifications (optional)
• Payment information (processed by third-party providers)
• Google Calendar credentials (if connected)

From End Users (customers of Operators):

• Name and phone number (required to book an appointment). SMS opt-in is recorded only when the customer checks the separate consent checkbox on the booking form
• Email address (optional, provided at booking)
• Appointment details (service, date, time, notes)
• Call recordings and transcripts (when interacting with the AI phone agent)

2. How We Use Information

• To provide and operate the FrontDesk platform
• To send Operators SMS notifications about new bookings, cancellations, and appointment changes
• To send End Users SMS appointment confirmations, cancellation notices, and reminders
• To enable the AI phone agent to book and manage appointments on behalf of Operators
• To sync appointments with connected calendar services (e.g. Google Calendar)
• To improve the accuracy and performance of our AI systems
• To respond to support requests

3. SMS Communications

This section describes our SMS program for appointment-related messages only (confirmations, cancellations, reminders, and operator alerts). We do not use SMS for marketing or promotions.

We send SMS messages to two groups:

• Operators who have explicitly opted in through a separate, unchecked-by-default consent checkbox in Shop Settings in the FrontDesk portal (after verifying their mobile number in Profile)
• End Users who check a separate, unchecked-by-default consent checkbox on the Operator's public FrontDesk booking page at the time they enter their phone number

Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for help.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. We also do not sell or rent mobile numbers or use them for unrelated advertising.

4. Information Sharing

We do not sell, rent, or share personal information with third parties for marketing purposes. We share information only in the following limited circumstances:

• With Operators: End User appointment and contact details are visible to the Operator whose service the End User booked
• Service providers: We use Twilio for SMS and voice communications, Google for calendar integration, and cloud hosting providers. These partners process data only as needed to provide the service
• Legal requirements: If required by law or to protect our rights

5. Data Retention

Operator account data is retained for the duration of the account and deleted upon request. End User appointment data is retained for as long as the Operator's account is active. Call transcripts are retained for up to 12 months.

6. Security

We use industry-standard measures including encryption in transit (TLS), encrypted storage for sensitive credentials, and access controls to protect your data. No method of transmission over the internet is 100% secure.

7. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us. End Users may contact the Operator directly, or reach us at the address below.

8. Children's Privacy

FrontDesk is not directed at children under 13. We do not knowingly collect personal information from children under 13.

9. Changes to This Policy

We may update this policy from time to time. We will notify Operators of material changes via email. Continued use of the platform after changes constitutes acceptance.
